Job Description

Responsibilities

Role Overview

We are seeking a highly organised and detail-oriented Training Operations professional to support the end-to-end delivery of training programmes. This role will focus on operational execution, administrative coordination, and compliance alignment with the SkillsFuture Singapore (SSG) framework and funding requirements.


The ideal candidate has prior experience in a training academy, Adult Training Organisation (ATO), Institute of Higher Learning (IHL), or corporate learning environment, and is familiar with SkillsFuture processes, including programme administration, and funding claims.


Key Responsibilities

1. Training Operations & Programme Delivery

- Coordinate end-to-end training operations (pre, during, and post programme execution)

- Manage course scheduling, trainer coordination, venue/logistics setup (F2F and virtual)

- Ensure smooth delivery of training programmes in line with operational SOPs

- Liaise with trainers, participants, and internal stakeholders to ensure readiness


2. Administration & Documentation

- Maintain accurate training records (attendance, assessments, feedback, certification)

- Prepare training materials, attendance sheets, and course documentation

- Ensure proper filing and documentation for audit and compliance purposes

- Support issuance of certificates and post-training reports


3. SkillsFuture & Funding Compliance

- Administer programmes in accordance with SkillsFuture / SSG requirements

- Manage training grant submissions and claims (where applicable)

- Ensure compliance with funding guidelines, eligibility criteria, and audit standards

- Support data submission into systems such as TPGateway (skillsfuture platform) / CRM / LMS platforms

- Assist in audit preparation and ensure documentation completeness


4. Stakeholder Coordination

- Act as the key point of contact for participants’ queries and operational matters

- Coordinate with internal teams (sales, trainers, finance, marketing)

- Provide operational support for client-facing corporate training engagements

5. Continuous Improvement

- Identify process improvement opportunities for training operations

- Support SOP development and optimisation for scalability

- Track and report operational KPIs (attendance, completion rates, feedback scores)


Requirements

Experience

- Minimum 5 years of experience in training operations, learning administration, or academy management

- Prior experience in an SSG-funded training environment / ATO / PEI / IHL is highly preferred

- Hands-on experience with SkillsFuture frameworks and compliance processes


Technical Knowledge

Familiarity with:

- SkillsFuture / SSG funding requirements and audit processes

- Training management systems (LMS, CRM, TPGateway)

-Adult learning operations and programme lifecycle

- Highly Proficient in Microsoft Office (Excel, PowerPoint, Word)
