Provide comprehensive administrative support to the Sales and Service teams, including drafting correspondence (letters, emails, faxes), managing phone and email inquiries, and general clerical tasks such as filing and faxing.
Assist in preparing and compiling departmental reports for the department head.
Support the preparation of tender documentation and ensure timely submission as per requirements.
Manage customer orders, ensuring accurate and efficient order processing.
Generate purchase orders, monitor incoming shipments, and coordinate with relevant parties to ensure timely delivery and proper documentation for customs clearance.
Liaise with internal teams—Sales, Service, and Logistics—to coordinate accurate and timely order placement and delivery, in line with contracts or quotations.
Maintain organized filing systems for sales records, assist in report generation, and provide relevant financial data to the Finance department.
Requirements:
Minimum GCE O or A Level qualification.
At least 1 year of administrative experience, supporting internal departments and handling client communications via email, phone, and fax.
Strong customer service orientation with excellent telephone etiquette.
