Key Responsibilities
1. Aconex System Administration & Workflow Management
- Act as Aconex System Owner / Field Owner and manage system configuration.
- Create and maintain workflow templates for document review and approval processes.
- Manage Aconex Archive Schedule and ensure proper document classification and storage.
- Release and monitor all Aconex workflows, ensuring timely review and updates.
- Maintain and update document registers, including status updates for incoming submissions.
- Support uploading of documents into Aconex when required.
2. Document Control & Coordination
- Coordinate final documentation submission from contractors to client, starting from Early Access CSA contractors.
- Create and maintain workflows for final project documentation handover.
- Coordinate issuance of construction drawings from consultants (e.g., Arup) to contractors (e.g., Exyte).
- Ensure proper tracking and distribution of site directions, RFIs, NCRs, and field documents.
- Assist in filing, scanning, and printing of project documents and drawings.
3. System Support & User Assistance
- Provide support and respond to all Aconex-related enquiries from project teams.
- Train new joiners on Aconex system usage and document control processes.
- Assist in updating weekly registers for NCR, Issues, RFI, and Field documentation.
- Ensure document control procedures are followed consistently across teams.
4. Procurement & Administrative Support
- Issue Purchase Requisitions (PR) for Dexcom Project and Facility requirements.
- Coordinate PR confirmation with PIC prior to Purchase Order (PO) processing.
- Support general administrative tasks related to procurement tracking.
5. Project Coordination & Events Support
- Coordinate with vendors (e.g., Areka) for video shooting activities.
- Organize monthly townhall meetings and project-related events.
- Provide general project administrative support as required by the team.
6. Reporting & Record Management
- Maintain updated document registers and ensure data accuracy.
- Assist in tracking document status and workflow progress.
- Support audit readiness by ensuring proper filing and document traceability.
Requirements:
- Minimum diploma qualification
- 3-4 years of experience in document control / project administration roles
- Hands-on experience with Aconex or similar document management systems
- Strong coordination and multitasking abilities
- Good knowledge of construction/project documentation workflows
- Ability to handle administrative and system support tasks
- Strong attention to detail and organizational skills
- Basic understanding of procurement process (PR/PO) is an advantage
Pay: RM3,000.00 - RM4,000.00 per month
Work Location: In person
