Responsibilities
Responsible for supporting and maintaining the effectiveness of Quality Management System (QMS), Environmental, Occupational Health & Safety Management System (EOHSMS), document control processes, audit management, compliance activities, CAPA implementation, Responsible Business Alliance (RBA) initiatives, and continuous improvement activities across all plants in compliance with applicable standards, customer requirements, and legal regulations.
Key ResponsibilitiesWork collaboratively with cross-functional teams and independently to support continuous improvement activities and resolve QMS and EOHSMS related issues.
Support the implementation of corrective and preventive actions (CAPA) and risk mitigation activities.
Ensure compliance with applicable QMS, EOHSMS, customer requirements, and legal regulations.
Provide guidance and advise on best industrial practices related to quality, environmental, occupational health & safety, and document control systems.
Support company initiatives related to QMS, EOHSMS, compliance, and operational excellence.
Prepare, review, revise, and maintain internal and external controlled documents including procedures, work instructions, forms, manuals, templates, and related documentation.
Ensure document control activities are properly managed, updated, maintained, and compliant with document control requirements.
Control and coordinate document numbering, filing, distribution, archival, retrieval, and disposal for both hardcopy and softcopy documents.
Review, monitor, and maintain external documents such as ISO standards, customer requirements, audit reports, and regulatory references to ensure relevancy and proper control.
Advise document owners on document control processes from document creation until approval, publishing, and implementation through Engtek Portal.
Ensure standardization of documents across all plants including numbering systems, formats, templates, and document structures.
Generate and maintain document control reports as required.
Manage document retention activities and carry out record housekeeping to ensure proper retention and disposal practices.
Fully support and coordinate internal audits, customer audits, certification body audits, and other compliance assessments.
Participate in 1st party (Internal Audit), 2nd party (Customer Audit), and 3rd party (Certification Body Audit) activities.
Assist in addressing audit findings, non-conformances, observations, and follow-up corrective actions.
Support audit preparation, documentation review, evidence collection, and audit reporting activities.
Conduct follow-up activities to ensure closure and effectiveness of corrective actions.
Support investigation activities related to quality, environmental, safety, and compliance issues.
Coordinate and monitor CAPA implementation and effectiveness verification.
Participate in continuous improvement projects and system enhancement initiatives.
Monitor system effectiveness and recommend improvements where necessary.
Support and drive Responsible Business Alliance (RBA) compliance initiatives across the organization.
Conduct internal audits and management review activities related to RBA requirements.
Follow up on customer audit findings and support implementation of corrective actions.
Coordinate with internal departments to ensure RBA compliance requirements are effectively implemented and maintained.
Chair and coordinate applicable meetings such as Execom meetings, CAPA meetings, management review meetings, and compliance discussions.
Communicate effectively with internal stakeholders, customers, suppliers, certification bodies, and external service providers.
Prepare meeting materials, reports, minutes, and follow-up actions where required.
Review, monitor, and update individual KPI performance on monthly and quarterly basis.
Prepare reports and updates for QMR, Section Head, HOD, and management review purposes.
Maintain accurate records and reporting related to QMS, EOHSMS, document control, and compliance activities.
Provide training and awareness programs related to QMS, EOHSMS, document control, audit requirements, and compliance standards.
Ensure employees maintain competency and awareness in accordance with applicable standards and regulations.
Support training record management and competency tracking activities.
Perform any other duties, tasks, or responsibilities assigned by superior, Section Head, Manager, Department Heads, or Top Management from time to time.
Bachelor’s Degree / Diploma in Quality Management, Engineering, Environmental, Occupational Safety & Health, Business Administration, or related field.
Minimum 1–3 years of working experience in QMS, EOHSMS, document control, compliance, or audit related functions.
Familiar with ISO 9001, ISO 14001, ISO 45001, RBA, and document control practices.
Knowledge in CAPA, risk assessment, audit management, and continuous improvement methodologies.
Good documentation, communication, coordination, and report writing skills.
Proficient in Microsoft Office applications and document management systems.
Able to work independently and collaboratively with cross-functional teams.
Good analytical, problem-solving, and organizational skills.
