Job Summary
The Sales Support Assistant is responsible for supporting daily sales and operational coordination for brands under GSS, Mills, Warrix, and Against Odd (OD) etc. The role includes order processing, return management, SRN/CN processing, liaison with warehouse operations, system coordination via Goldsoft / AutoCount, shipment and delivery arrangements, and ensuring smooth communication between sales teams, warehouses, logistics partners, and customers.
The ideal candidate should be highly organised, detail-oriented, and capable of handling multiple operational tasks in a fast-paced environment.
Key Responsibilities
Order Processing & System Management
Process and monitor customer orders accurately using the Goldsoft / AutoCount System.
Generate sales orders, invoices, delivery orders, SRN (Stock Return Notes), and CN (Credit Notes).
Process customer returns, exchange requests, and related documentation accurately and promptly.
Liaise closely with warehouse teams to ensure timely picking, packing, and order fulfilment.
Coordinate with warehouse personnel on stock availability, order prioritisation, and shipment readiness.
Ensure timely and accurate system updates and data entry.
Maintain proper filing and documentation of all sales and return-related records.
Delivery, Shipment & Return Coordination
Arrange and coordinate shipment schedules with logistics partners and warehouses.
Prepare shipment documentation and ensure timely dispatch of goods.
Monitor shipment status and resolve delivery issues proactively.
Coordinate return shipments and ensure returned goods are properly verified and documented.
Provide weekly delivery, return, and shipment status updates to management and sales teams.
Liaise with internal and external stakeholders to ensure smooth operational execution.
Inventory & Warehouse Coordination
Work closely with warehouse and merchandising teams on stock allocation, replenishment, and return verification.
Monitor incoming and outgoing inventory movements.
Assist and process in stock transfers between outlets, warehouses, and customers when required.
Ensure returned stocks are properly recorded and updated in the system.
Coordinate with warehouse teams on discrepancies, shortages, damages, or urgent order requirements.
Highlight low stock, discrepancies, or delivery delays to management promptly.
Sales & Customer Support
Support sales teams with administrative and operational matters.
Attend to customer enquiries regarding order status, deliveries, returns, and product availability.
Maintain good working relationships with customers, suppliers, logistics providers, and warehouse personnel.
Assist in preparing sales, return, and operational reports.
General Administration
Ensure all operational processes comply with company SOPs.
Support management on ad-hoc operational and administrative tasks.
Assist during promotional events, warehouse activities, stock counts, or restructuring exercises when required.
Job Requirements
Diploma in Business Administration, Sales, Logistics, Supply Chain, or related field.
Minimum 1–3 years of experience in sales support, warehouse coordination, logistics, or customer service.
Familiar with Goldsoft System or other ERP systems will be an added advantage.
Experience handling returns, SRN, and CN processing is preferred.
Proficient in Microsoft Excel, Word.
Good communication and coordination skills.
Strong attention to detail and problem-solving ability.
Able to work independently and under pressure in a fast-paced environment.
Team player with good time management skills.
