- Prepare meeting minutes and manage project documentation, records, and staff timesheets.
- Ensure all documentation complies with audit requirements and adheres to ISO policies and procedures.
- Receive and direct visitors, respond to site enquiries, and coordinate with the HQ corporate office.
- Manage telephone calls, emails, and correspondence on behalf of the Project Director and project team members, redirecting matters where appropriate.
- Prepare petty cash reports, payment recommendation forms, purchase requisitions, purchase orders, work orders, and requests for quotations (RFQs).
- Negotiate with subcontractors and suppliers to obtain the best pricing and procurement terms.
- Plan and coordinate transportation route schedules.
- Source materials, tools, machinery, equipment, and other miscellaneous project-related purchases.
- Compile and verify supporting documents such as Delivery Orders (DOs) and invoices for payment processing and approval.
- Provide administrative support to the Project Director and QS Manager on ad hoc matters.
Requirements
- GCE ‘O’ Level qualification or equivalent.
- 3 years experience in construction or relevant field.
- Proficient in Microsoft Office and computer-literate.
