JOB SUMMARY

The Industrial Relations Executive is responsible for managing and addressing all industrial relations (IR) matters, including compliance with employment laws, handling employee disputes, managing court cases, and liaising with labor authorities such as JTK. This role ensures that the organization’s policies and practices align with current legal requirements and supports the development of a fair and compliant work environment.

Job Responsibilities: -

1. Handling JTK (Jabatan Tenaga Kerja) Issues

  • Act as the main liaison with JTK to address and resolve labor-related matters and ensure compliance with Malaysian labor laws.
  • Manage inspections, audits, and follow-ups with JTK to resolve any disputes or compliance issues.
  • Prepare and submit necessary documentation and reports required by JTK.

2. Industrial Relations (IR) Issues

  • Handle employee grievances, disciplinary actions, and misconduct cases in line with company policies and legal requirements.
  • Provide guidance and support to managers and employees on IR matters, ensuring fair treatment and compliance with procedures.
  • Investigate workplace disputes and recommend appropriate resolutions to prevent escalation.

3. Managing Court Cases

  • Prepare documentation and represent the company in labor court or industrial court hearings.
  • Collaborate with legal advisors and external consultants on complex IR cases.
  • Ensure timely and accurate preparation of evidence, witness statements, and case summaries.
  • Monitor progress and outcomes of court cases and implement changes based on rulings to mitigate future risks.

4. Drafting Official Letters and Conducting Domestic Inquiries

  • Draft and issue official letters related to employee discipline, including show-cause letters, warning letters, and termination letters.
  • Organize and oversee domestic inquiries, including appointing panel members and ensuring compliance with fair inquiry procedures.
  • Provide advice and training to managers on conducting inquiries and handling disciplinary matters effectively.

5. Staying Updated on Changes in Employment Laws

  • Keep abreast of changes and updates in Malaysian labor laws and industrial relations regulations.
  • Advise management on the implications of legal updates and recommend necessary adjustments to policies and practices.
  • Ensure the organization’s HR practices are compliant with current laws and regulations, minimizing legal risks.

6. Policy Creation and Implementation

  • Develop and update company policies, procedures, and guidelines to align with legal requirements and organizational goals.
  • Ensure effective communication of policies to employees and provide necessary training or clarification.
  • Monitor and evaluate the effectiveness of policies, suggesting improvements where necessary.

7. Reporting and Documentation

  • Maintain detailed records of IR cases, court proceedings, and correspondence with labor authorities.
  • Prepare periodic reports for management on IR trends, legal risks, and compliance status.
  • Analyze trends in disputes or disciplinary issues to identify root causes and recommend proactive measures.

All ad hoc job-related functions as and when required.

Key Competencies and Skills

  • In-depth knowledge of Malaysian labor laws, Industrial Relations Act, and Employment Act.
  • Strong analytical and problem-solving skills to manage complex IR issues.
  • Excellent drafting skills for preparing official letters and legal documents.
  • Proficiency in using HRIS and Microsoft Office Suite for reporting and documentation.
  • Strong interpersonal and communication skills to manage sensitive situations effectively.

Education

  • Bachelor’s degree in Human Resource Management, Law, Industrial Relations, or a related field.

Experience

  • Minimum 1 - 2 years of experience in industrial relations, preferably in the retail or fast-paced industry.
  • Proven experience handling labor authorities, domestic inquiries, and court cases.

Job Type: Full-time

Pay: RM2,200.00 - RM2,500.00 per month
