[Appointment period: twenty-four months]

Duties

The appointee will assist the project leader in the project – “PolyU business school case centre”. 

The PolyU Business School Case Centre is dedicated to the development, publication, and distribution of high-quality, Asia-focused business case studies.  Taking inspiration from global industry leaders, the Centre aims to bridge academic theory and real-world business practice. It support faculty in writing highly impactful cases, facilitate case method teaching, and distribute academic materials globally to advance business education.

The Centre is seeking a proactive, highly organised, and detail-oriented Project Associate to oversee the daily operations of the Centre.  The Project Associate, will be the primary engine running the case submission and publication pipeline, ensuring materials meet world-class standards.  Additionally, the appointee will play a key role in organising capacity-building events, such as case writing workshops and conferences.  The ideal candidate has a background in academic administration, academic publishing, or higher education program management.  He/she will take up the following key responsibilities:

(a) Case Submission & Publishing Operations 

  • Pipeline Management:Manage the end-to-end case submission lifecycle, from initial faculty submission through to final publication and distribution.
  • Quality Control & Formatting:Review submitted cases and teaching notes for adherence to Centre formatting, style guidelines, and completeness prior to peer review or editorial processing.
  • Copyright & Licensing:Administer copyright clearances, consent-to-use forms, and non-disclosure agreements (NDAs) for corporate subjects, ensuring full legal compliance in line with international publishing standards (e.g., Ivey/UK Case Centre guidelines).
  • Database Management:Maintain and update the Centre’s digital repository and catalog, ensure metadata is accurately captured for seamless integration with external global distributors.
  • Author Liaison:Act as the primary point of contact for faculty authors, providing guidance on submission criteria, status updates, and feedback from reviewers.

 (b) Event Organisation & Management

  • Workshop Coordination:Plan, organise, and execute case-writing and case-teaching workshops for faculty and PhD students, including liaising with external trainers and managing logistics.
  • Case Competitions:Support the planning and operational delivery of local and regional student case competitions hosted by the Faculty of Business.
  • Webinars & Launches:Organise online or hybrid events to promote newly published showcase cases to the broader academic community.

(c) External Relations & Distribution

  • Distributor Relations:Coordinate with global case distribution partners (e.g., The Case Centre UK, Ivey Publishing, Harvard Business Publishing) to upload new PolyU cases, update catalogs, and track global sales/usage analytics.
  • Marketing Support:Draft newsletters, website updates, and social media posts highlighting new case publications, faculty achievements, and upcoming Centre events.

(d) General Administration & Reporting

  • Reporting:Track usage metrics, case adoptions, and sales data, prepare quarterly and annual performance reports for the Centre Director and Faculty Dean.
  • Financial Admin:Assist with processing payments for external editors, copyright fees, and event-related expenses.
  • Inquiries:Manage the Centre’s main inbox, responding to external inquiries regarding case adoption, permissions, and licensing.

Qualifications

Applicants should have a master’s degree in in Business Administration, Communications, Education, English or a related field, or a good honours degree in the abovementioned disciplines with at least three years of full-time experience in academic administration, academic/educational publishing, university program coordination, or event management.  He/she should also possess the following core skills and competencies:

(a)     Attention to Detail: Exceptional proofreading skills and strict adherence to formatting and copyright guidelines.

(b)     Project Management: Proven ability to manage multiple publishing pipelines and events simultaneously without missing deadlines.

(c)     Communication: Excellent written and spoken English is mandatory (as cases are published for a global audience), proficiency in Cantonese and Mandarin is highly preferred for liaising with local corporate partners and universities.

(d)    Tech Savvy: Proficiency in MS Office Suite, database management/CRM systems, and website content management systems.

(d)    Interpersonal Skills: Professional and able to build strong working relationships with senior faculty, external publishers, and corporate executives.

Preference will be given to those with:

i) Prior experience in organising academic conferences and events, liaising with companies or universities for collaboration, and case-writing for business schools; and

ii) Familiarity with Adobe Acrobat and basic desktop publishing tools.
