The Export Execution Supervisor will be responsible for the end-to-end execution of commodity export contracts from overseas, ensuring smooth operational performance from post-fixture to final delivery. The role requires intensive daily coordination with the team in overseas.
Key Responsibilities
Contract Execution & Operations
- Manage execution of export contracts (FOB, CIF, CFR) for: Crude/refined vegetable oils (bulk & flexitanks) and Oilseed meals (bulk & containerized)
- Oversee the full logistics chain from nomination to delivery, including vessel/container planning and shipment tracking
- Coordinate vessel operations: nominations, laycan management, loading schedules, and documentation flow
- Handle container shipments (flexitanks and standard), including stuffing, release, and depot coordination
SAP & Systems Operations
- Execute and maintain all relevant transactions in SAP related to export execution (contracts, deliveries, shipments, billing, stock movements)
- Ensure accuracy and timeliness of data entry in SAP in line with operational milestones
- Coordinate with finance and trading teams to ensure alignment between physical execution and system records
Shipping & Documentation
- Prepare, review, and manage shipping documents (BL, invoices, packing lists, certificates)
- Ensure compliance with contractual terms and trade finance requirements
- Work with banks on Letters of Credit, including document preparation and discrepancy management
Stakeholder Coordination (Critical)
- Maintain daily operational communication with overseas team: Forwarders, shipping lines, and vessel agents, Port terminals and warehouses in overseas, Independent surveyors and inspection companies
- Ensure clear, timely, and accurate information flow between local counterparts and internal stakeholders
- Act as the primary bridge between Singapore office and overseas-based operations
Operational Control & Problem Solving
- Monitor and resolve operational issues (delays, shortages, quality claims, demurrage risks)
- Calculate and verify laytime, demurrage, and dispatch in line with charter party terms
- Ensure timely escalation and mitigation of risks impacting execution
Reporting & Compliance
- Maintain accurate shipment records and status updates
- Ensure compliance with internal policies and international trade regulations
Key Requirements
- min 5 years of relevant experience
- Proven experience in commodity export execution (preferably vegoils and/or agri-bulk)
- Strong knowledge of:
- Export processes from overseas
- Incoterms (FOB, CIF, CFR)
- Bulk vessel operations and container logistics (incl. flexitanks)
- Letters of Credit and trade finance
- Laytime and demurrage calculations
- Surveyor and insurance coordination
- SAP (logistics / export execution modules preferred)
- Fosfa/Gafta rules attainments
