Responsibilities
A. Sales Support
Assist the Sales & Marketing Assistant Manager with daily sales operations and administrative tasks.
Process new and repeat customer orders while ensuring all product specifications, packaging designs, mock-ups, and development requirements are accurately managed.
Prepare and maintain sales-related documents, including quotations, proforma invoices, purchase orders, customer specifications, credit clearance documents, and progress reports.
Communicate with customers to handle enquiries, negotiate terms, and confirm orders before processing.
Update customer information and sales records in the ERP system.
Prepare product costing and revise pricing whenever selling or purchasing costs change.
B. Coordination & Communication
Coordinate with the Sales Administration team to ensure smooth order fulfilment, delivery, and shipment.
Work closely with outsourced manufacturers to ensure products are produced according to customer specifications, quality standards, and delivery schedules.
Collaborate with the Quality Assurance (QA) team on artwork and labelling requirements.
Liaise with the Quality Control (QC) team to address product quality issues and customer complaints when required.
Coordinate with the Regulatory Compliance team on product registration and regulatory documentation.
Work with packaging suppliers on packaging design, artwork, mock-ups, colour standards, and sample approvals.
Obtain quotations from suppliers and manufacturers for new product development and packaging requirements.
Coordinate with shipping agents and freight forwarders for shipping arrangements and freight cost estimations.
Monitor packaging inventory levels and recommend replenishment when necessary.
Build and maintain strong relationships with customers and business partners.
C. Reporting & Analysis
Prepare sales performance reports and analyse customer sales trends to support business decisions.
D. Other Duties
Perform any other duties and responsibilities assigned by the immediate superior.
