To assist in implement all policies, activities, procedures as relevant and required in Sales Admin department or property development system.
-To comply ISO integrated Management System requirement
-To monitoring, tracking and approving of the booking, checking the Sales package form, collections of Sales documents and controlling that Property Advisor (PA) & Agent are complying with the Standard Operating Procedure (SOP).
-To monitoring and updating Weekly Sales master control, Sales & Marketing Campaign and submission of Weekly Sales Report.
-To conduct Purchaser profile search on (M Club Member search / BRP & BGB / RNR).
-To generate OTP, SPA signing reminder and 1st/Final reminder in a timely manner.
-Responsible to liaise with purchasers, financial institutions, solicitors and other related parties to ensure proper documentation.
-Weekly to follow up, updating & submitting Loan Status reports.
-Checking Bank letter offer details, arranging SPA & loan signing appointment with PA/Agent and informing solicitor accordingly & advise SPA date.
-To checking all the information in the sales related documents & SPA (Format, content, plan & Schedule) are in order and correct.
-To conduct verification with purchaser on the performance/service of panel solicitor for SPA signing (Performance Rating - Grade A, B, C & D).
-To ensure all files handed over to Credit Admin Dept. are in good order & must be in a timely manner.
-Sales Cancellation & Refund (Prepare cheque requisition, notice of cancelation & Request for termination form, sending Notification email to purchaser, sending completed documents to HQ Finance)
-To submit the Agent Commission, Claim in a timely manner.
-Preparation Agency appointment MEMO and Letter of Appointment (LOA) and renewal the LOA for the existing Agency.
-Processing & submission of legal fees Invoice (SPA & Loan legal fees / Disb. fees, loan stamp duty & MOT stamp duty) in a timely manner.
-Processing cheque requisition for freebies/promotion under sales package.
-Preparation of project pricing & feasi approval.
-To follow up the status for HOC certificate submission (online/actual) & certficate fees payment & follow up the status for HOC claimable payment.
-Support sales team at Major Sales Event.
-Submit Weekly/ Monthly/ Quarterly/ Yearly reports in timely manner.
-To submit ad-hoc reports as and when required.
-Responsible to cultivate teamwork coaching and support to the Sales Administration Staff.
-Maintain Company’s interest and image ahead by providing excellence services to purchasers, financial institutions, solicitors and other related parties.
-Maintain the confidentiality of the purchasers’ and company’s information

Level of Education:
Candidate must possess at least a diploma / degree in business administration or equivalent.
Years of Experience:
At least 3-5 years of working experience in the related field is required for this position
Discipline/Related Field:
Familiar in Property Development Industry – Sales admin job roles
Process good communication and interpersonal skills
Leadership and Technical Competencies
Able to multi – task, possess pleasant disposition, well organized and excellent in time management with good follow up skills.
