岗位职责
To be responsible to manage patient’s appointment via telephone, letter or walk-in at the specific clinic reception area based on clinical urgency, availability of consultant and time most convenient for the patient. Appointment slot should be given to the next walk-in patient if the previous patient is a no-show, subject to the time of the next appointment.
Enter patients’ appointment information into the system. Request for the case notes for the said appointment once the appointment is confirmed with the patient. In the event of system breakdown, to fill in the request form for case notes and send to MRD personally.
Register for returned patients with appointment who present themselves at the clinic on the appointment day to create the visit episode and to ensure that their case notes are prepared before the appointment time.
For new patients, prepare a new appointment card and a new case note after registration is completed. Attach the registration print out to the new case notes correctly.
Request for a guarantee letter from the corporate patients or company paying patients. Check for the validity. Ensure all related documents required to be produced during registration for smooth process during collecting of medicine and payment. Liaise with staff in- charge at Credit Control Section and PR/Marketing Section if problems arises.
Inform and update the patients of all appointments for follow-up consultation before the patient leaves the clinic. It should be emphasized to the patient that in the interest of other patients, they should attend the appointment on time.
Enter the follow-up appointment into the system for booking of case-note. An appointment card will also be completed giving details of the appointment to the patient.
Receive case notes for appointment patients from MRD’s staff and to acknowledge into the dispatch book/cards.
Ensure that all used case notes are prepared to be collected by the MRD’s staff at the end of clinic session and update in dispatch book.
Assist patient to relevant departments. Escort to Main Lobby if patients are for admission. Upon arrival at Admissions Counter, hand over case note and inform Admissions Personnel of patient’s arrival.
Cover and rotate duties with other clinic staff when the need arises.
To answer telephone calls at the clinic and attend to patients’ enquiries, redirect to respective destinations where applicable in courteous, helpful & professional manner.
Ensure that all information related to patients’ clinical history are strictly confidential. Disciplinary action will be taken if found guilty of disclosing any information.
Report to CCX Head/Manager of any incidents/problems or matters related to the flow of the procedures from time to time.
Participate in in-house activities/programs.
Maintain and ensure cleanliness of the clinic both inside and outside waiting area.
Carry out other relevant duties as delegated by the CCX Head / Manager where see fit.
Carry out other duties assigned by the Management.
