Job Description

Responsibilities

Position Summary

The Facilities Management Intern will support day-to-day building operations, vendor coordination, procurement processing, and administrative workflows across assigned sites. This role offers practical exposure to managing vendor contracts, client service requests, purchasing activities, and ground-level site operations.

Key Responsibilities

1. Operations & Site Support

  • Site Inspections: Assist site teams with daily property walkthroughs to monitor facility conditions, identify maintenance issues, and track routine cleanliness and safety.
  • Takeover & Handover Assistance: Help compile asset inventories, photo logs, and checklists during site mobilizations, takeovers, or client handovers.
  • Helpdesk & Service Requests: Record and track maintenance feedback or work orders from clients/tenants, following up with site teams to ensure timely resolution.

2. Contracting, Procurement & Vendors

  • Purchase Order (PO) Processing: Assist in preparing internal purchase requisitions and raising Purchase Orders (POs) for vendor services and site materials.
  • RFQ & RFP Support: Assist in compiling documentation, issuing Requests for Quotations (RFQs), and gathering vendor price comparisons for facility repairs or upkeep.
  • Vendor Coordination: Liaise with soft and hard service contractors (e.g., janitorial, air-con maintenance, security) to coordinate site access and verify completion of scheduled works.
  • Document Archiving: Maintain updated archives of service reports, statutory maintenance licenses, vendor contracts, and client agreements.

Requirements & Qualifications

  • Currently pursuing or recent graduate with a Diploma or Bachelor's Degree in Building Surveying, Facilities Management, Business Administration, or a related field.
  • Keen interest in property operations, vendor sourcing, and facilities workflows.
  • Strong written and verbal communication skills.
  • Proficient in MS Office (Excel, Word) and Google Workspace.
  • Adaptable, proactive, and willing to participate in both administrative desk work and active ground site visits.
