Responsibilities
Key Responsibilities:
1. Talent Acquisition & Workforce Planning
· Assist in drafting and updating job descriptions in alignment with hiring needs.
· Manage end-to-end recruitment activities including job postings, sourcing, screening, interview coordination, and offer management.
· Source candidates through job portals, social media, employee referrals, and direct sourcing methods.
· Coordinate with hiring managers on manpower requirements and recruitment progress.
· Maintain and update candidate databases and talent pipelines.
· Track and provide recruitment reports.
· Support internship programs, campus hiring initiatives, and career fairs.
2. Pre-Hiring Documentation & Correspondence
· Ensure all recruitment-related forms are completed and approved.
· Assist in preparing and issuing offer letters, employment contracts, and related correspondence.
· Liaise with candidates on offer details, onboarding dates, and pre-employment requirements.
3. Onboarding & Offboarding
· Coordinate onboarding processes including documentation, system access, and first-day arrangements.
· Support new hire orientation and induction programs.
· Ensure smooth onboarding experience and follow up on new joiner status.
· Assist in offboarding processes such as exit documentation, clearance, and exit interviews (where required).
4. Recruitment Operations & Reporting
· Maintain accurate recruitment records in HR systems and applicant tracking tools.
· Generate periodic recruitment reports.
· Ensure proper documentation and filing of recruitment-related records.
5. Employer Branding & Engagement
· Support employer branding initiatives including job advertisements, social media postings, and recruitment campaigns.
· Assist in organizing career fairs, recruitment drives, and engagement activities with potential candidates.
· Enhance candidate experience throughout the recruitment process.
6. Compliance & Policy Administration
· Ensure recruitment processes comply with company policies and local labor regulations.
· Assist in preparing documentation for audits and internal compliance checks.
· Support updates to recruitment SOPs and guidelines when required.
7. Undertake Ad-Hoc Duties as Assigned
· Undertake any other assignments as required and perform additional duties assigned by superiors when necessary.
Qualifications for Recruitment Assistant
1. Bachelor’s degree or diploma in Human Resources, Business Administration, Psychology, or related field.
2. At least 2 years of experience in recruitment or talent acquisition.
3. Good verbal and written communication skills.
4. Strong interpersonal and coordination skills, with ability to engage candidates and hiring managers.
5. Hands-on experience in sourcing, resume screening, and interview coordination.
6. Familiarity with job portals, social media hiring, and basic applicant tracking systems (ATS).
7. Ability to manage multiple vacancies and meet recruitment timelines.
8. Basic knowledge of Malaysian labor laws and hiring practices.
9. Organized, detail-oriented, and proactive in managing recruitment activities.
Job Type: Internship
Pay: RM1,000.00 - RM1,500.00 per month
