Project Coordinator – Creator & Campaign Support [1 Year Contract, Up to RM2,000]


About the Role


HEPMIL Malaysia is looking for a Remote Project Coordinator to join our growing team! This is a 1-year contract role, with the possibility of renewal.

Reporting to the Head of Operations, this role supports the Business Development & Success team in the execution and delivery of influencer/creator campaigns by focusing on creator discovery, campaign coordination, and operational support across multiple campaigns.

Key Responsibilities

1. Creator Discovery, Sourcing & Pipeline Management

  • Identify, research, and source suitable creators/influencers of different tiers (macro, mid, micro, nano) for brand campaigns across platforms such as TikTok and Instagram.
  • Build and maintain a strong creator pipeline/database across different creator verticals and categories such as Beauty, Tech, Lifestyle, Gaming, Parenting, Food & Beverage, and others as needed.
  • Conduct creator profile screening and relevance checks based on campaign objectives, target audience profiles, brand fit, and content style.
  • Stay updated on social media trends, emerging creators, creator communities, and platform culture to proactively support campaign needs.
  • Support internal teams with creator recommendations and sourcing insights based on campaign/category requirements.


2. Campaign Coordination & Operations

  • Maintain and update campaign trackers, timelines, creator databases, and internal documentation accurately and promptly.
  • Support operational coordination across campaigns to ensure smooth execution and timely completion of deliverables.
  • Monitor creator content publishing and flag delays, discrepancies, risks, or campaign issues proactively to relevant internal teams.
  • Assist in compiling creator information and campaign data for internal and client-facing use.
  • Work closely with Business Development & Success, Creator Partnership, and other teams to support smooth campaign execution.
  • Use internal tools and systems (i.e. *************) to manage creator sourcing and campaign coordination workflows.


3. Database Management & Reporting

  • Ensure creator profiles, campaign history, rates, and relevant campaign information are accurately maintained within internal systems and trackers.
  • Support ongoing database hygiene, structured documentation, and consolidation of creator information across platforms/tools.
  • Support post-campaign reporting by gathering creator and campaign performance data and assisting in report preparation.
  • Ensure accuracy and timeliness of assigned operational and reporting tasks.


4. Administrative & Coordination Support

  • Support creator administrative processes including agreement tracking, data entry, and payment coordination.
  • Liaise with creators to collect required campaign information, deliverables, and documentation.
  • Coordinate with the Finance team to ensure timely and accurate creator payments.
  • Provide day-to-day operational and administrative support to ensure smooth workflow execution across Business teams.
  • Provide ad-hoc support for internal or client-facing projects when required.


Requirements

  • Minimum 1 year of experience in influencer marketing, creator operations, campaign / project coordination, talent management, social media, or related roles.
  • Familiarity with sourcing or identifying creators/influencers for campaigns is a strong advantage.
  • Passionate about social media platforms, internet culture, creator trends, and emerging digital communities especially on TikTok and Instagram.
  • Proficient in Bahasa Malaysia and English (spoken and written).
  • Able to work independently in a remote or hybrid setup with a strong sense of accountability.
  • Highly organised with strong attention to detail and ability to manage multiple tasks and timelines simultaneously.
  • Able to manage multiple tasks and timelines in a fast-paced environment.
  • Familiar with Google Workspace. Experience with ************* or Salesforce is a plus.
  • Positive, proactive, and collaborative team player with good communication skills.

  • Accurate and well-maintained campaign trackers, creator databases, and internal documentation
  • Proactive problem-solving, accountability, and visibility across campaign workflows
  • Positive contribution to scaling creator sourcing capabilities and operational efficiency across the organisation
