Overall job function

Drive sales administration and project documentation activities to ensure accurate client records, timely project milestones, organized1 quotations, complete meeting records and smooth sales-to-project handover.

Job Responsibilities:

  • Prepare project milestones that align internal departments, project timelines and client expectations.
  • Organize project-related documents including drawings, quotations, client correspondence, work site memos, RFI records and furniture lists.
  • Compile complete project files in digital and hardcopy formats for easy retrieval, company policy compliance and ISO requirements.
  • Track approvals, outstanding documents, deliveries and client follow-ups to keep project administration moving according to timeline.
  • Prepare minor quotations, variation orders and quotation adjustments in Excel based on client specifications and Head instructions.
  • Record project meeting minutes accurately by capturing key discussions, decisions, action items, responsible persons and deadlines.
  • Arrange project meeting schedules, meeting materials and required documents ahead of client or internal project discussions.
  • Liaise with design, QS, procurement and project teams to update BOQ items, drawings, award progress and site progress records.
  • Handle email correspondence with clients and internal departments using clear, professional and timely communication.
  • Review sales administration records, quotation details and project documents to reduce missing information, duplication and filing errors.
  • Perform any expressed or implied duties and responsibilities required by the company or superior.

Requirements:

  • Demonstrate minimum SPM, Diploma or Degree qualification in Business Administration, Interior Design, Project Management, Quantity Surveying or related field.
  • Use Microsoft Word and Excel confidently for documentation, quotation preparation and project tracking.
  • Apply good interpersonal communication when dealing with clients and internal departments.
  • Handle multiple daily workloads with proper prioritization and attention to deadlines.
  • Use AutoCAD knowledge as an added advantage when handling drawings or project references.

Pay: RM2,500.00 - RM3,000.00 per month

License/Certification:

  • Yellow Book License (Required)
