Diploma or Bachelor’s Degree in Business Administration, Facilities Management, Engineering, or related field.
Minimum 1–3 years of working experience in CMMS/FMS administration, facilities management, maintenance coordination, or related field.
Familiar with work order management, preventive maintenance scheduling, and maintenance reporting.
Basic knowledge in invoicing, purchase orders, billing, and contract administration.
Good knowledge of Microsoft Excel, Word, and reporting tools.
Good communication and coordination skills.
Able to work independently and manage multiple tasks efficiently.
Detail-oriented with good documentation and record management skills.
岗位职责
Update and maintain all required information in the FMS system accurately.
Review completed work orders and ensure proper upload into FIMS.
Monitor and establish work order updates and maintenance records.
Coordinate with technicians, contractors, and stakeholders regarding updates and changes in the FMS system.
Maintain facilities documentation, audits, and SharePoint records.
Raise Purchase Orders (PO) and ensure timely approval processes.
Review and verify invoices, quotations, and completed work against contract terms and agreed rates.
Support billing and invoicing processes to ensure timely submission to clients.
Track outstanding payments and coordinate with finance for vendor payment processing.
Handle vendor inquiries related to invoices and payment status.
Monitor contract costs, budgets, and expenses to ensure proper cost control.
Support cost-saving initiatives and flag any overspending issues proactively.
Track and report Profit & Loss (P&L) performance and support financial analysis.
Process overtime claims and maintain overtime records in accordance with company procedures.
