Job Description

Support workplace housekeeping operations such as replenish amenities and supplies in office, inspect office to report defects and missing items, report & turn over lost and found items and maintain cleanliness of office.
Monitor and ensure compliance with organisational and regulatory requirements on hygiene, and workplace safety and health in office, report safety hazards and security threats and respond to emergency situations in accordance with organisational standard operating procedures.
Support on administrative tasks such as making travel & accommodation arrangements for colleagues’ outstation work travels

2. Administrative Support (Internal & External)

Support event delivery: look for venues based on given requirements in collaboration with internal stakeholders, source for venue-related logistics, make travel & accommodation arrangements for participants and/or delegates.
Collate documentation required for the preparation of event proposals and project plan
Support event communication such as seeking attendance confirmation of participants through emails.

3. Sales & Marketing Support

Assist to prepare & collate information on customers’ requirements for sales team to prepare sales proposals (tenders) and quotation,.
Source for printing vendors, make quality check on the print materials (brochures, name cards, etc) to ensure zero errors & expected quality.
Maintain records of departmental spending and budget utilisation for periodic reviews.

QUALIFICATIONS, SKILLS & EXPERIENCE REQUIRED

Candidate must possess at least Diploma, preferable Business Admin field
At least 2-3 years’ experience in related field
Required language: both written and spoken in English
Strong computing skills in Ms Excel / Word
The ability to stay motivated, and manage multiple responsibilities at once by focusing on one task while keeping track of others
Good working ethic, willing to learn and positive attitude
