Responsibilities

Job Purpose

The HR & Admin Executive is responsible for supporting the full spectrum of Human Resources, Administration, and Learning to ensure efficient business operations and a positive employee experience. The position supports continuous improvement, system enhancements, and operational effectiveness to meet organizational objectives.


Key Responsibilities:

Human Resources & HR Systems

  • Administer and maintain SAP SuccessFactors modules, including Employee Central, Performance & Goal Management, Learning, Recruitment, and overall system administration.

  • Manage and maintain HRMS functions, including leave administration, claims processing, attendance management, and employee data maintenance.

  • Handle monthly statutory submissions and ensure compliance with government requirements through relevant portals such as EPF i-Akaun Majikan, SOCSO Assist Portal, MyTax, and HRDC.

  • Assist in the development, review, and implementation of HR policies, standard operating procedures (SOPs), and processes in compliance with company policies and Employment Act requirements.

  • Prepare and maintain HR reports, dashboards, employee records, and workforce analytics to support management decision-making, compliance monitoring, manpower planning, and HR initiatives.

  • Support daily HR operations throughout the employee lifecycle, including employee administration, documentation management, confirmation, transfers, promotions, and separation processes.

Recruitment & Onboarding

  • Manage end-to-end recruitment activities, including job posting, candidate sourcing, screening, interview coordination, offer administration, onboarding, and employee documentation.

  • Coordinate and conduct onboarding programmes, orientation sessions, and induction briefings to facilitate the smooth integration of new employees into the organisation.

  • Coordinate the setup and provisioning of laptops, email accounts, system access, ID cards, and other necessary resources for new hires, internal transfers, and employee offboarding.

Learning & Employee Engagement

  • Coordinate learning and development activities by identifying training needs with department heads and arranging internal and external training programmes.

  • Maintain and update training records in SAP SuccessFactors Learning Management System (LMS) and collaborate with National Trainers on annual training plans.

  • Monitor and evaluate training effectiveness through feedback analysis, training assessments, and post-training reviews.

  • Manage HRDC-related documentation, grant applications, claims submissions, and compliance requirements.

  • Support employee engagement initiatives, team-building activities, employer branding programmes, employee communication, and company events in collaboration with local and regional stakeholders.

Administration & IT Coordination

  • Support and coordinate office administration and building facility activities. 

  • Serve as the primary coordinator for IT-related matters, working closely with external vendors and internal stakeholders to resolve hardware, software, and system issues.

  • Manage user access requests, account creation, system permissions, and troubleshooting through the Jira ticketing system.

  • Coordinate with service providers, suppliers, and internal departments to ensure efficient administrative, facilities, and IT support services.

  • Monitor office assets, equipment allocation, and inventory records to support operational requirements and employee onboarding/offboarding processes.

Other Responsibilities

  • Support business process improvement initiatives and participate in HR, administration, and system enhancement projects.

  • Perform ad-hoc assignments and special projects as assigned by management from time to time.

Requirements

  • Bachelor’s Degree in Human Resource Management, Business Administration, Information Systems, or related field.

  • Minimum 3–5 years of working experience in Human Resources, preferably with exposure to HRIS/HRMS administration.

  • Hands-on experience in SAP SuccessFactors modules such as Employee Central, Performance & Goal Management, Learning, and Recruitment.

  • Knowledge of payroll processes and statutory compliance requirements in Malaysia.

  • Familiar with HRMS/HRIS systems, leave management systems, and payroll systems.

  • Good communication and stakeholder management skills with the ability to collaborate across departments and regions.

  • Detail-oriented, proactive, and able to manage multiple tasks independently.
