Job Description

Responsibilities

Executive Support:

  • Prepare board presentations, investor decks, and strategic documents
  • Coordinate with the parents’ company entities
  • Handle confidential business matters with discretion and professionalism
  • Act as gatekeeper and first point of contact for executive communications

Business Coordination:

  • Facilitate communication between Singapore management team and China remote development team
  • Organize meetings, team building events, and cross-bordercollaboration sessions
  • Support product launches, pilot programs, and customer onboarding initiatives
  • Track key business metrics and prepare weekly/monthly reports for management

Project Management:

  • Manage special projects and strategic initiatives
  • Coordinate with external partners (RegTech vendors,government agencies, industry associations)
  • Support business development activities (client meetings, partnership negotiations)
  • Organize industry events, conferences, and networking activities
  • Maintain project timelines and ensure deliverables are met

Administrative & Operations:

  • Manage office operations and vendor relationships
  • Coordinate with HR on recruitment, onboarding, and employee engagement
  • Handle expense reports, invoices, and budget tracking
  • Maintain filing systems (both digital and physical)
  • Support ad-hoc administrative tasks as needed

Required Qualifications

Education & Experience:

  • Bachelor’s degree in Business Administration, Management, or relatedfield
  • 3-5 years of experience as Executive Assistant, Personal Assistant, or similar role
  • Prior experience in fintech, technology, or financial services strongly preferred
  • Experience supporting C-level executives in fast-paced startup environments

Technical Skills:

  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Word) and Google Workspace
  • Experience with project management tools (Notion, Asana, or similar)
  • Familiar with video conferencing platforms (Zoom, Microsoft Teams, DingTalk/Feishu for China team)
  • Strong data management and documentation skills

Language Skills:

  • Excellent written and verbal English (Required)
  • Mandarin proficiency is a strong plus (for China team coordination)
