Job Summary

  • You will support D: NEXUS and D:NEXA Tech Summit by managing front-of-house services and administrative tasks. This includes visitor engagement, space booking, contract coordination, invoice processing, and general office support, with future involvement in HR and payroll administration.

Responsibilities

  • Welcome and engage visitors and partners to create a professional and hospitable front-of-house experience at D:NEXUS
  • Manage and coordinate space booking requests to optimize facility usage for events and activities
  • Prepare, review, and file contracts accurately to ensure compliance and proper documentation
  • Process invoices and claims promptly to maintain up-to-date financial records
  • Perform general office administration tasks to support efficient daily operations
  • Assist with documentation and operational support for D:NEXA Tech Summit events
  • Support HR administration and payroll coordination progressively to facilitate employee management processes
  • Handle confidential information with discretion to protect organizational data
  • Use Microsoft Office, Google Workspace, spreadsheets, email, calendars, and document management tools effectively
  • Multitask reliably in a fast-paced environment while maintaining strong attention to detail and service orientation

Required competencies and certifications

  • Diploma or equivalent qualification in Business Administration, Hospitality, Office Management, Human Resources, Accounting, Events, or related fields
  • Minimum 2–4 years of experience in front office, administration, customer service, hospitality, office coordination, HR admin, finance admin, or related roles

Preferred competencies and qualifications

  • Experience with payroll administration, HR records, room bookings, events, or membership administration
  • Mandarin or other language capability (advantageous for engaging diverse stakeholders)
