Job Summary

To plan, coordinate, and support the execution of Fine Art handling, Workspace (office) moves, and Relocation / MVO operations, ensuring jobs are delivered safely, accurately, on time, and in line with client and regulatory requirements.

Responsibilities

  • Plan and schedule daily operations for Fine Art logistics, workspace moves, and domestic and international relocations to meet client timelines and regulatory standards
  • Allocate manpower, vehicles, packing materials, and specialist resources to optimize operational efficiency
  • Sequence jobs effectively considering site access, client deadlines, and operational constraints
  • Coordinate Fine Art movements including packing, crating, storage, installation, and transport while ensuring adherence to handling procedures, condition reporting, and security protocols
  • Collaborate closely with Fine Art Operations teams, conservators, and specialist vendors to ensure smooth execution
  • Manage office relocation projects by conducting surveys, developing phasing plans, and scheduling moves aligned with clients, building management, IT vendors, and internal teams
  • Oversee after-hours or phased moves to minimize disruption to client business operations
  • Support household goods, storage, and destination services coordination by liaising with internal teams and vendors for seamless move execution
  • Track multiple concurrent jobs across various move stages to ensure timely completion
  • Monitor job execution and respond promptly to operational issues or last-minute changes
  • Ensure all permits, risk assessments, method statements, and client documentation are prepared and compliant with safety standards, SOPs, and regulatory requirements
  • Maintain accurate job schedules, work orders, and completion records to support operational reporting on utilization and performance
  • Liaise with building management to secure moving slots and coordinate with the Finance Team for administrative support

Required competencies and certifications

  • Diploma or equivalent qualification; preference for Logistics, Operations, or Supply Chain disciplines
  • Minimum 5 years of experience in logistics, moving, relocation, or Fine Art/workspace operations

Preferred competencies and qualifications

  • Strong planning, coordination, and problem-solving skills demonstrated through managing complex move operations
  • High attention to detail in handling high-value or sensitive items to ensure condition and security
  • Ability to work effectively under pressure in a fast-paced, operations-driven environment
  • Customer-focused mindset with a strong sense of accountability
