Responsibilities

Job Summary

The Administrative Executive is responsible for providing comprehensive administrative and operational support to ensure smooth day-to-day office operations. The role includes managing office administration, documentation, coordination, communication, and supporting various departments when required.

Key Responsibilities:

  • Handle daily administrative and office support tasks
  • Manage incoming calls, emails, letters, and correspondence
  • Maintain proper filing systems and company records
  • Prepare reports, documents, presentations, and meeting materials
  • Schedule meetings, appointments, and coordinate meeting arrangements
  • Record meeting minutes when required
  • Monitor and maintain office supplies and stationery inventory
  • Liaise with vendors, suppliers, and service providers
  • Ensure office equipment and facilities are properly maintained
  • Coordinate office maintenance and repair works
  • Support company events, meetings, and internal activities
  • Maintain accurate data entry and documentation records
  • Assist in preparing quotations, invoices, purchase orders, and reports
  • Coordinate with internal departments on administrative matters
  • Ensure proper documentation filing and retrieval systems
  • Assist management and departments with ad hoc administrative duties
  • Handle confidential information with professionalism and discretion
  • Ensure compliance with company administrative procedures and policies

Job Requirements:

  • Diploma, Higher NITEC, or equivalent qualification
  • Minimum 1–2 years of administrative experience preferred
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
  • Good organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Attention to detail and accuracy
  • Responsible, proactive, and able to work independently
  • Experience in office administration or coordination role
  • Basic knowledge of accounting or HR administration is an advantage
  • Familiarity with office management procedures and systems
