Role Summary
The Operations Executive is responsible for the end-to-end management of supply chain documentation and administrative support. You will ensure that all Purchase Orders (PO), Delivery Orders (DO), and Invoices (INV), Inventory control are processed accurately and that financial reconciliations (AR/AP) are maintained with precision.
Key Responsibilities
1. Documentation & Order Management
- Generate and process Purchase Orders (PO) to suppliers and Delivery Orders (DO) for customers.
- Manage and verify Invoices (INV), ensuring all billing aligns with delivered goods and agreed pricing.
- Maintain a systematic digital filing system for all trade and logistics documentation.
2. Financial Administration (AR/AP)
- Accounts Receivable (AR): Track customer payments, issue monthly statements, and perform collections follow-up to ensure healthy cash flow.
- Accounts Payable (AP): Reconcile supplier invoices against DOs and POs, and prepare payment vouchers for approval.
- Assist in month-end closing activities by providing accurate operational and financial data.
3. Digital Operations & Collaboration
- Utilize Microsoft Teams as the primary hub for daily communication, project updates, and document co-authoring.
- Manage data entry and reporting using Microsoft Excel to track inventory and payment aging.
- Ensure all team communications and task management are documented within the ecosystem.
4. Logistics Coordination
- Coordinate with warehouse and external transporters to ensure timely delivery of orders.
- Act as the main point of contact for documentation-related queries from both internal departments and external vendors.
- Experience in any warehouse management system (WMS) would be highly favourable.
Requirements
- Experience: Minimum 2 years of professional experience in an operations, logistics, or administrative role. Experience in the FMCG industry is highly preferred.
- Education: Diploma or Degree in Business, Supply Chain, Logistics, Finance, or a related field.
- Technical Skills:
- Proficient in Microsoft Teams and the wider Microsoft 365 suite (Excel, Word, Outlook).
- Basic understanding of accounting principles (AR/AP).
- Familiarity with ERP software (e.g., SAP, SQL, AutoCount, WMS) is an advantage.
