Requirements

  • At least 1 year of working experience in clerical work
  • Able to write and speak in Mandarin
  • Able to work 5.5 days a week
  • Welcome school leavers to apply

Responsibilities

  • To identify recruitment needs, publish and update job ads on careers pages and portals;
  • To coordinate, negotiate and liaise with employment and advertising agents on recruiting services;
  • To arrange and conduct interviews for job applicants, obtain and verify information used to screen, evaluate them and notify eligible workers of position availability;
  • To prepare new employee documentation and ensure all resources are ready and intact for new recruits;
  • To conduct orientation program to new employees and explain on Employee Handbook;
  • To generate on time attendance record and verify missing attendance and leave records;
  • To report to the Management on staff absenteeism, frequent sickness and lateness;
  • To prepare and distributes company uniform and PPE to employees and perform routine stock check;
  • To coordinate and liaise with internal and external consultants on employee’s training needs and arrange in-house or external training schedules for employees;
  • To evaluate the effectiveness of the respective training programs by obtaining feedback from employees and their superiors;
  • To organize corporate events such as employee birthday, company’s dinner, corporate trip, family day etc.;
  • To prepare monthly KPI records, distribute to respective superior and prepare KPI reporting;
  • To assist HOD in attending employees’ grievances and complaints, provides guidance if necessary;
  • To check on new employee work performance and issues and provide related support;
  • To prepare, follow up and update logbook and warning letters issued;
  • To prepare, distribute and compile checklist and reports related to foreign worker hostel amenities and cleanliness;
  • To perform routine hostel inspection and ensure cleanliness of the hostel is maintained and grievance of hostel complaint and maintenance is performed;
  • To prepare, distribute and compile checklist and reports related to MKN, KKM, MITI and other regulated bodies or government agencies;
  • To investigate and follow up on all Safety and Health accident occurred and prepare related reports;
  • To organize and schedule meetings, sort/distribute mail, and maintain Employee Departmental Files;
  • To issue all letters and memorandums required related to Human Resource activities and matters;
  • To conduct exit interviews and ensure all required resources are collected;
  • To provide clerical support and ensure proper maintenance of filing system;
  • To ensure employee profile is completed and up-to-date in all records, and update in organization charts;
  • To prepare monthly HOD report and HR report;
  • To report and communicate updates to superiors orally and in writing daily;
  • To update in employee benefit programs and worker’s compensation plans;
  • To determine, provide and maintain the infrastructure and work environment needed to achieve conformity to product requirement and safety and health requirement;
  • To assist management in maintaining and establishing ISO 9001 system and administration.
