Requirements

  • Exhibit strong negotiation and problem solving skills.

Responsibilities

  • Handling various administrative tasks such as filing documents, organizing paperwork, preparing reports, and maintaining records
  • Greeting visitors, answering phone calls, and directing inquiries to the appropriate individuals or departments
  • Organizing and maintaining physical and electronic files, ensuring documents are easily accessible and properly stored
  • Accurately entering data into databases, spreadsheets, and other systems
  • Keeping track of expenses, managing receipts, and handling financial matters like reimbursements or bill payments
  • Monitoring and ordering office supplies (stationery, toilet paper roll, pantry snack etc.) to ensure availability
  • Managing monthly vehicle payments
  • Screening and Responding to Emails
  • Assisting in the subscription of Interior Designers’ Software and any issues regarding the Software
  • Running errands (ad hoc)
  • Prepare and submit necessary documentation for Permit Application of construction site
  • Office Maintenance Tasks
  • Scheduling maintenance or repairs of Company Vehicles
  • Ensuring all lights, air-cons and glass doors are turned off/close before off work
  • Record and track the attendance of wet workers, carpenters, and office staff
  • Calculate the wages of wet workers and carpenters based on their attendance and work hours, factoring in relevant allowances and deductions
  • Prepare and filing documents including but not limited to: Purchase Order, Invoice, etc.
  • Purchase or order materials online
  • Ensure that the Invoices given by suppliers are tally with the Purchase Order
  • Prioritizing tasks and managing time effectively to ensure that important deadlines are met and responsibilities are fulfilled
  • Handling sensitive information and maintaining confidentiality
  • Assisting with ad hoc tasks as needed
